Job Posting: Administrative Assistant
We are seeking an experienced and versatile Administrative Assistant to join our team. The successful candidate will provide a wide range of administrative support, including managing schedules, organizing meetings, overseeing information management, and supporting our Head of Mission.
Key Responsibilities: Administrative Assistant International
- Manage the personal agenda of the Head of Mission and coordinate the mission’s calendar.
- Organize meetings and events independently, preparing necessary background documents and speaking points.
- Collect information about hotels/flights and make necessary arrangements for ICRC visitors or events.
- Apply for and follow up on visas for staff traveling for professional reasons.
- Serve as the primary contact for all protocol-related aspects with ministries, courts, embassies, and other interlocutors.
- Ensure efficient information flows within the mission and compliance with institutional policies and procedures.
- Manage email correspondence for the Head of Mission and manage the mission’s general email account.
- Prepare complete accounting documents, including invoices and internal requests.
- Manage cash, draft cheques, and initiate online payment orders.
- Settle working advances with the approval of the administrator.
- Take minutes at regular administrative meetings.
- Manage shipment clearances/dispatches for the mission and mobile staff.
- Update supplier lists and recommend suppliers to logistics colleagues as needed.
Qualifications and Skills: Administrative Assistant International
- Proven experience in an administrative role.
- Excellent organizational skills and the ability to multitask.
- Strong communication skills, both written and verbal.
- Ability to work independently and as part of a team.
- Proficiency in Microsoft Office Suite.
- Experience in accounting and cash management.
- Familiarity with logistics and supply chain processes would be an advantage.
